Purpose

To provide guidance to institutions regarding the requirements and responsibilities for hosting an in-person hub for the ASAHP 2022 Regional Summit.

Event Format

Hybrid – There will be 3 to 4 in-person central hubs with virtual exchange between hubs during the event.

 

Requirements

  1. ASAHP Membership Status:  Hosting institution must be an ASAHP institutional member.

  2. Community Partners:  Host site will be expected to engage and recruit clinical partners for the Summit Event.

  3. Location:  Preference will be given to host institutions that are in regions that are easily accessible to attendees in a geographic area.

  4. Meeting room: appropriately sized meeting room to accommodate estimated 100 attendees.

    • Able to provide small group table arrangements preferred for working style meetings, working/interest groups, etc.

    • Equipped with AV Media and virtual conferencing capabilities.

    • Provide sufficient space for registration tables and meeting materials. 

  5. Lunch space options: provide a separate room, meeting room, or facility cafeteria [VK2] for luncheon/icebreaker session.

    • Host institution will provide lunch.

  6. Administrative Support:  host institution will be responsible for copying expenses and other related expenses.

  7. Wireless Internet and Audio Visual

    • Wireless internet access for every attendee

    • Sufficient charging areas for laptops

    • Appropriate sound system and number of microphones to accommodate speakers and audience Q & A

    • Appropriate projection equipment and screen to accommodate room size and attendance

    • Virtual connection capabilities and/or live streaming

    • Audio visual on-site support or point of contact to report issues

  8. Host site Facilitator – one individual who coordinates the in-person hub

    • ASAHP will provide Facilitator training

    • Stipend may be provided
